Capsule is a customer relationship management software that offers a blend of sales and marketing capabilities at a competitive price. Its contact management and pipeline tools help businesses visualize individual leads and entire projects from a single dashboard, with detailed real-time reporting of all updates. Capsule even offers an AI content assistant to help sales reps create engaging emails to nurture leads closer to sales.

Capsule supports startups looking for cost-effective tools as well as small and medium-sized companies in need of intuitive online software. If you’re looking for a platform that can handle a larger volume of users, offers more powerful technical features, or has industry-specific specializations, there are other options to consider.


  • Free level: Each account is free with up to 250 contacts and 50MB of storage.
  • starter: $18 per user per month when billed annually, $21 per user when billed monthly. This includes everything in the free tier, plus 30,000 contacts, 1 sales channel, 1 project board, 50 custom fields, and more.
  • Growth: $36 per user per month when billed annually or $38 per user when billed monthly. This tier supports everything in Starter, plus 60,000 contacts, 5 sales channels, 5 project boards, advanced sales reporting, and more.
  • advanced: $54 per user per month when billed annually or $60 per user when billed monthly. Features on this tier include all content from Growth plus 120,000 contacts, 1,000 AI content assistance, and more.

Main features of capsules

Capsule has a sister company called Transpond, with which the CRM software integrates seamlessly. Transpond is a special marketing tool that pulls and syncs all contact information, profiles, custom fields, and more directly from Capsule to help organize them into segmented marketing lists (Figure A). Any updates to information in one tool are automatically updated in the other, allowing businesses to easily run marketing campaigns and engage with top leads.

Cause of Loss Report

Capsule offers a variety of sales reports where users can gain specific insights about individual sales reps, customers, and projects. These reports include opportunities won/lost, leaky pipeline, average time to win, average sales value, and reasons for losses. Capsule’s unique Lost Reasons Insights page tracks every lost sale and defines the top reason why it wasn’t closed (Picture B). This feature can help individuals or entire teams identify gaps in the sales process so they can prepare better rebuttals.

Workflow automation

Capsule’s workflow automation tools help businesses reduce manual work, speed up processes, and help complete tasks efficiently and consistently. Users can set up workflows and triggered activities to support sales reps and managers at every stage of the sales cycle.

In addition to sales tasks, Capsule’s automation capabilities can be applied to other business processes. For example, within the project management feature, users can automate the new hiring process to get new employees ready to work faster (Figure C).

Having sales pipeline management software allows organizations to see a summary of all sales opportunities, including potential profit, the status of the sales pipeline, and what needs to be done next. Capsule’s pipeline feature provides detailed opportunity tracking and overall sales process customization. Capsule also offers a special multi-sales channel view, where businesses can create channels representing different products, services, and markets (Figure D).

This free tier does have limits on the number of contacts it can support, no workflow automation and capped integrations. So it makes sense to see how Capsule compares to other providers that offer free versions of the tool or may cater to similarly sized businesses. The best alternatives to Capsules include Zoho CRM, Insightly, and HubSpot.

Capsule offers an AI assistant that can help create written emails on behalf of sales reps, while Zoho CRM offers an AI assistant that can help monitor lead activity and more. Zoho CRM also has more advanced multi-channel marketing capabilities than Capsule, covering phone and email marketing as well as social media campaigns.

I compared Capsule’s features, pricing plans, intuitiveness, etc. with the top CRM providers and their standards. I consulted Capsule’s online resources and real CRM user feedback.

Capsules are scored according to the following criteria:

  • integrated: Accounts for 15% of the total score.
